The SuccessFactors interface conceptually resembles a Facebook profile and contains all important information, from an employee’s basic personal and business details to information about their children, their birthdays, and other important details. Each employee edits all their own data—in collaboration with the human resources department and their manager—which significantly increases the accuracy and timeliness of the information. Additionally, SuccessFactors allows employees to determine which of the data the company holds about them is considered sensitive, and SAP strictly adheres to all GDPR regulations and the Croatian Personal Data Protection Act.

Modular structure and key modules

Sucess Factors consists of multiple modules that can operate independently, but their true value only emerges when used together because they “consume” different information from one another. For example, Employee Central is the central module that contains the company’s organizational structure and employee data. The appraisal module enables structured monitoring of each individual’s performance, while the training management module helps plan and track employees’ educational activities. The succession management module is particularly noteworthy because it ensures continuity in key positions within the company. The new version also introduces a redesigned interface for onboarding new employees and a new performance review form (Performance & Goals), which allows for the retrieval of various contextual feedback while highlighting areas where the employee has room for improvement.

Artificial Intelligence in HR

SAP continuously enhances SuccessFactors, and the latest release, released in the first half of this year, brings more than 250 innovative features and improvements, many of which are powered by artificial intelligence.

Joule is an AI copilot for HR and is currently available only on the SuccessFactors mobile app. It helps employees and managers quickly find information, complete daily tasks, and gain valuable insights—all through a self-service interface they can use in the office or on the go. In addition to the aforementioned Joule, SuccessFactors also has its own AI chatbot that answers various employee questions. This functionality is custom-ordered and paid for based on the number of transactions that occur. SAP is currently working on a visualization of this chatbot, which will further enhance the user experience.

Implementation and integration made simple

Implementation process

SuccessFactors follows the SAP Activate methodology, which involves implementing in several phases. The first step is the so-called Explore phase – a meeting with the customer during which all business processes and other requirements defined in the RFP (Request for Proposal) are mapped out. After that comes the setup of the system’s initial configuration according to SAP’s best practices. The third step is the gap analysis. This is essentially a comparison of what best practices offer and what the user needs and wants. Once everything is in place, iterative testing begins, which the user conducts with the help of a testing script. By incorporating feedback and after a few more iterations (SAP recommends no more than three), the final configuration is reached – the system settings that best suit the user’s business needs.

Integration with other systems

SuccessFactors is fully compatible with all other SAP solutions, and this compatibility is achieved through the special SAP Integration Suite. Although these integrations aren’t completely plug-and-play and require some minor customizations, they’re actually straightforward, as is integration with third-party software such as Microsoft Office (Word, Excel) and other tools (Infor, Oracle, etc.).
